Learn how to manage your transportation services effectively

Daily Schedule

What is it?

The Daily Schedule shows all your trips organized by date and time, giving you a clear overview of your daily operations.

How to use it:

  • Select a date: Click on any date in the calendar to view trips scheduled for that day
  • View trip details: See client names, pickup/dropoff locations, and trip status at a glance
  • Track round trips: Trips marked with a round trip badge show the return pickup time
  • Monitor capacity: See how many trips are scheduled for each time slot

Best practices:

  • Check your schedule each morning to prepare for the day
  • Look ahead to upcoming days to plan driver assignments
  • Note any trips that need special equipment or accommodations

Driver Management

What is it?

Driver Management is your central hub for adding, editing, and organizing your driver team.

How to use it:

  • Add a driver: Click "Add Driver" and enter their name, phone, email, and license number
  • Edit driver info: Click the edit icon next to any driver to update their information
  • Remove a driver: Click the delete icon to remove a driver from your roster
  • Assign drivers to trips: Click "Assign Drivers to Trips" to match drivers with specific bookings

Required information:

  • Full Name: Required - The driver's complete name
  • Phone: Required - Contact number for the driver
  • Email: Optional - For electronic communications
  • License Number: Optional - Driver's license for your records

Assignment workflow:

  1. Add all your drivers to the system first
  2. When trips are confirmed, go to "Assign Drivers to Trips"
  3. Select a date to see all trips for that day
  4. Choose a driver for each trip from the dropdown
  5. Review your assignments in the summary
  6. Click "Confirm All Assignments" to finalize

Fleet & Hours

What is it?

Fleet & Hours manages your vehicle availability and operating schedule, controlling when and how many bookings you can accept.

Default Vehicles Per Time Slot:

This number determines how many trips you can handle simultaneously. For example:

  • Set to 1: You can accept 1 trip per time slot (good for small operations)
  • Set to 3: You can accept up to 3 trips at the same time (if you have 3+ vehicles)
  • This prevents overbooking and ensures you have enough vehicles available

Weekly Operating Hours:

Configure when your service is available for each day of the week:

  • Toggle on/off: Enable or disable service for each day
  • Start time: When you begin accepting trips
  • End time: When you stop accepting trips
  • Closed days won't show up as available options for bookings

Tips:

  • Be realistic about your capacity - it's better to have fewer slots that you can fulfill reliably
  • Update your hours if you take holidays or have seasonal changes
  • Remember to click "Save" after making any changes

Service Rates

What is it?

Service Rates allow you to set your pricing for different types of medical transportation services.

Rate structure:

Each transport type has two components:

  • Base Rate: Your starting price for any trip of that type
  • Per Mile Rate (over 5 miles): Additional charge per mile for trips longer than 5 miles

Transport types:

Wheelchair Transport

For passengers who use wheelchairs but don't require medical monitoring

Ambulatory Transport

For passengers who can walk but may need minimal assistance

Stretcher Transport

For passengers who need to remain lying down during transport

Bariatric Transport

For passengers requiring specialized equipment for higher weight capacity

Pricing examples:

Example 1: 3-mile wheelchair trip

Base Rate: $50 = Total: $50 (under 5 miles, no per-mile charge)

Example 2: 12-mile wheelchair trip

Base Rate: $50 + (7 extra miles × $3/mile) = Total: $71

Best practices:

  • Research local market rates to stay competitive
  • Consider your costs: fuel, vehicle maintenance, insurance, driver pay
  • Update rates seasonally if needed (gas prices, demand changes)
  • You can leave a service type empty if you don't offer it
  • Remember to click "Save Rates" after making changes
